How to Create a Voucher Template

Modified on Thu, 19 Oct, 2023 at 10:53 AM

A voucher template contains default information for a voucher and can be used when giving a guest a voucher, or adding a voucher to offers, events, or other parts of the system, depending on how your Engage is configured.

In the menu under Manage, select either List Vouchers or Add New Voucher.

An existing voucher template can be edited by selecting List Vouchers and then clicking on the edit icon. The process for editing is the same as adding a new voucher.

This will open up the form for setting up the voucher template.

Add a Description to this voucher to help identify it.

Add the Quantity of the Product that will be used for this voucher. This is usually 1.

Add the Unit Price of the voucher and select the Currency Code for the value. The Currency Code is usually USD. If this is a ticket voucher, and you have online purchasing through a mobile app or website from our partner, this is the value that will be applied to the ticket purchase. If it is not enough to cover the entire price at purchase, the customer will be responsible for any remaining cost.

Select the Product associated with this voucher template.

If you set a value for End Date/Time Days To Add, this value will be applied as the default value for any vouchers that are created based on this template. The  End Date/Time Days To Add can be edited when a voucher is created using this template. When a voucher is created using this template and the End Date/Time Days To Add is set, the newly created voucher will be valid for the number of days after issuance to a guest. For example, if the value is set to 30 and you give a voucher to a guest based on this template, the guest will have 30 days after issuance to use the voucher. See Give a Guest a Voucher for an example of this.

You can select whether the Customer Pays the Service Fee for this voucher when it is used during a purchase. If this is selected for a ticket voucher, the customer will be responsible for the service fee even if the Unit Price of the voucher is more than the actual ticket purchase price.

You can also select whether to Display the Voucher Amount in the mobile application if there is a mobile app integrated with your Engage system.

Any voucher specific image or icon URLs can be configured here. There are also potentially image and icon URLs configured on the product as well. These URLs can point to images that can be used anywhere this voucher might be displayed to a guest.

You can select the Redemption Policy method for how this voucher can be redeemed. POINT OF SALE is the most common.

In the Redemption Policy Text, you can add any terms and conditions that are specific to this voucher. Any terms that are entered here will be automatically applied when a voucher is created using this template as a base. These can be overridden when a new voucher is created. See Give a Guest a Voucher for an example of this.

In the Obligor field, select the Partner that is responsible for fulfilling this voucher.

Once you have filled this out, click Confirm Voucher to go to a confirmation screen where you can review the voucher before saving it.

Once you confirm the voucher is correct and save it, you will be taken back to a list of all available vouchers, and the new voucher should be there.
